4    Catalog Maintenance



On the surface the cataloging client is very similar to the search only client, but in addition to searching the catalog you can add modify and delete titles and holdings.



Creating a New Title Record.

To create a new title record click the New button in the control panel. A blank title record form will appear. You can then enter data in the fields and tab from one field to the next.







When you are finished entering data click Save. The new title record is created and is immediately available for searching.

In the New Record form you also have the option of adding new holdings records. Click New Holdings and a blank holdings record will appear appended to the title record. You may add as many holdings records to a title as you wish.



Modifying and Deleting Title Records and Holdings.

The ability to modify and delete title records is built into the search function in the Catalog client. To call up a title to delete just do a search for that item. Bring up its full title record display and click on Edit. Now the title record and all holdings may be edited.

To delete a holdings record check the holdings to delete using the checkbox and click Delete Holdings. When you are finished making changes click Save.

Deleting titles is done in a similar way. Call up the title with a search, view in the full record display and click the red Delete button. NOTE: You must manually delete any attached holdings before you can delete a title.



Importing Title Records Via Delimited Text Files.

Importing title records from delimited text files is done from the server console using the import command. The syntax is as follows:

import input_file delimiter key_field 
input_file is the path and filename of the delimited text file. delimiter is the character used to delimit fields. key_file is an optional parameter indicating what field is key when processing records. Using key_field ensures that records are unique to the key. If a record already exists with the key value that record is not entered into the database.
